These terms apply to QuoteFollow, a pre-commercial UK project for testing quote links, quote status tracking, and polite email follow-ups. QuoteFollow is not yet a registered UK company and is not yet offered as a paid commercial service.

Do not treat the service as production-ready for live customer operations unless you have written confirmation from the operator. Before paid public launch, these terms should be reviewed by a UK solicitor and updated with the final legal operator name, address, trading status, company number, VAT details, and customer cancellation/refund wording that applies.

What QuoteFollow does

QuoteFollow helps solo trade businesses create quote links, track quote views and customer responses, and schedule polite email follow-ups until a quote is accepted, declined, or expired.

QuoteFollow is deliberately narrow. It is not accounting software, payroll software, a tax tool, a job management system, a route planner, an estimating engine, or a replacement for professional advice.

Who may use it

During the pre-commercial period, access is for invited testers, development, demonstrations, validation, and launch preparation. You must be at least 18 and must have authority to use QuoteFollow for the business or test workspace you create.

If you use QuoteFollow for a trade business, you are responsible for making sure your use is lawful, accurate, and appropriate for your customers.

Your responsibilities

  • Check every quote before sending, including description, line items, prices, taxes, VAT wording, expiry dates, and your own quote terms.
  • Only enter customer data that you are allowed to use, and tell customers how their data is handled where required.
  • Only send quote and follow-up emails where you have a lawful basis and comply with UK GDPR, PECR, and any opt-out rules that apply.
  • Keep account access secure and tell QuoteFollow quickly if you think your account or quote links have been misused.
  • Do not use QuoteFollow for spam, bought lists, unrelated marketing campaigns, unlawful content, harassment, fake quotes, or misleading prices.
  • Do not upload special category data, payment card data, passwords, identity documents, or unnecessary customer information.
  • Do not attempt to bypass usage limits, access another user's workspace, scrape the service, or interfere with service security.

Quotes and customer responses

A quote, acceptance, decline, question, or follow-up sent through QuoteFollow is part of the relationship between the trade business and its customer. QuoteFollow is not a party to the trade contract and does not verify the work, price, customer, property, tax position, or suitability of the quote.

QuoteFollow records quote events such as sent, viewed, followed-up, accepted, declined, expired, and customer question events. Those records help the trade user see the quote status, but they are not legal, accounting, or court advice.

Email follow-ups

Follow-up emails must relate to the quote or service the customer has asked about or discussed with the trade business. You must not use QuoteFollow to send unrelated advertising, cold marketing, or emails to people who should not receive them.

Email delivery depends on third-party providers, recipient mail systems, spam filters, domain configuration, and correct customer contact details. QuoteFollow cannot guarantee that every email will be delivered, opened, or acted on.

Trials, pricing, and billing

Any pricing shown on the site before commercial launch is indicative launch pricing, not confirmation that QuoteFollow is already operating as a paid commercial UK business. If paid access is enabled, billing will be handled through Stripe and the checkout screen will show the price, billing period, trial, taxes, and payment terms that apply.

When commercial subscriptions go live, users should be able to cancel future renewal through the billing portal or by contacting QuoteFollow. Access may continue until the end of the paid period unless the final checkout or subscription terms say otherwise.

Consumer and distance-selling notes

QuoteFollow is intended for trade and business users. If it is later sold to consumers or mixed-use users, the checkout and terms must clearly provide the required pre-contract information, cancellation rights, refund rules, minimum contract period, and any digital-service consent wording required by UK consumer law before orders are accepted.

Data processing terms

When a trade user enters customer and quote data into QuoteFollow, the trade user is normally the controller and QuoteFollow acts as processor for that customer and quote data. The subject matter is providing quote links, quote tracking, follow-up scheduling, email sending, notifications, support, security, and related hosting.

The processing lasts while the user keeps the account or data in QuoteFollow, plus any backup, audit, legal, billing, or security retention period described in the privacy policy. The data subjects may include trade customers, customer contacts, trade users, and business contacts. The personal data may include names, emails, phones, addresses, quote details, prices, response history, message metadata, and technical logs.

  • QuoteFollow will process customer and quote data only on the trade user's documented instructions, unless UK law requires otherwise.
  • People with access to personal data must be under an appropriate confidentiality duty.
  • QuoteFollow will use appropriate technical and organisational security measures for the risk, including access controls, server-side secrets, HTTPS, and row-level security where applicable.
  • QuoteFollow may use sub-processors needed to provide the service, including hosting, database, email, billing, security, and infrastructure providers.
  • QuoteFollow will take reasonable steps to help the trade user respond to data rights requests, security incidents, deletion requests, and controller obligations.
  • At the end of the service, QuoteFollow will delete or return customer and quote data on reasonable request, unless continued retention is required by law, backups, billing, security, or dispute handling.
  • QuoteFollow will provide reasonable information needed to demonstrate these processor obligations, subject to confidentiality, security, and protection of other users.

Service availability and changes

During the pre-commercial period, QuoteFollow may change, pause, remove, reset, or limit features while the product is being tested. Data may be cleaned up from test environments. Users should keep their own copy of any quote information they need for business records.

QuoteFollow may change these terms before commercial launch and will update the date above when it does.

Intellectual property

QuoteFollow owns or licenses the app, design, code, brand, and service materials. Users keep ownership of their business data, customer data, quote content, logos, and materials they enter into the service, and give QuoteFollow permission to use that content only as needed to provide, secure, support, and improve the service.

Liability

Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.

QuoteFollow is provided as a pre-commercial testing service. To the fullest extent allowed by law, QuoteFollow is not responsible for lost profits, lost revenue, lost business, lost goodwill, indirect losses, customer disputes, failed email delivery, incorrect quote content, tax or VAT mistakes, or trade work outcomes.

Suspension and termination

QuoteFollow may suspend or remove access if a user misuses the service, risks other users' data, sends unlawful or unwanted email, breaches these terms, or creates security, legal, operational, or reputational risk. Users may stop using the service at any time and should request deletion of test data they no longer need.

Governing law

These terms are intended to be governed by the laws of England and Wales. Before commercial launch, the final operator should confirm the correct legal entity, address, jurisdiction, and dispute process.
